Terms and Conditions

Please read these terms carefully before using the online payment facility. Using the online payment facility on this website indicates that you are agreeing to these terms and conditions. If you do not accept these terms do not use this facility. These Terms and Conditions are in addition to those specified in the Staff Handbook.

All payments are subject to the following conditions:

  • Your payment will normally reach the University’s account within 3 to 5 working days. 
  • We do not accept liability for a payment not reaching the University’s account due to you quoting an incorrect account number or incorrect personal details.
  • We do not accept liability if payment is refused or declined by the credit/debit card provider for any reason.
  • If the card provider declines payment, the University is under no obligation to bring this fact to your attention. It is your responsibility to check with your bank/credit/debit card provider that payment has been deducted from your account.
  • In no event will the University be liable for any damages whatsoever arising out of the use, inability to use, or the results of use of this site, any websites linked to this site, or the materials or information contained at any or all such sites, whether based on warranty, contract, tort or any other legal theory and whether or not advised of the possibility of such damages.
  • Using this website indicates your acceptance of the University’s policy on personal data usage and retention, with regards to using this service.

The University will comply with the General Data Protection Regulation (the GDPR) and the Data Protection Act 2018 (DPA) (collectively “Data Protection Law”). We will only use the personal information you supply to us for the purpose it was provided. Personal data will only be shared if there is a legal obligation or legal basis for processing or when you have provided your consent to share, for example sharing personal details with Metro in order for them to provide a Metro card.

To the fullest extent permitted by law, the material on this website and its online payment facility is provided “as is”, and without warranties, conditions or other terms of any kind.

While the University will make reasonable efforts to ensure that the online-payments system is available and usable at all times, it does not guarantee continuous, uninterrupted or secure access to the system. While every reasonable effort has been made to ensure accessibility, the University does not guarantee that use of the online-payments system will be compatible with all hardware and software of its users. The University reserves the right to suspend or withdraw access, without notice, to either the whole or part of the payment site, for any reason.

Nothing on this payment site constitutes any part of a contract unless otherwise expressly stated.

Metro Cards

The annual cost of the Metro Card is paid in full by the University when the card is received. If you return a MetroCard part-way through its valid period, the University will receive a refund of the original price, less the combined prices of any shorter period MetroCards which would have been required to cover travel before the card's return, plus a small administration charge. We will continue to collect the monthly payments until the refund has been received from Metro. A final payment will then be taken from your debit/credit card for the outstanding balance and will reflect the above refund received by the University. A timescale for collecting the final payment cannot be specified as we are reliant on receiving this information from Metro, however a revised Advance Notice will be emailed to the Card Holder detailing collection dates and amounts.

The refund will not be initiated by Metro until they have received the returned card. It is your responsibility to return the Metro Card to the HR Department and collect a receipt as evidence that it has been returned. You are liable for the total cost charged to the University.

Car Park

Members of staff are eligible to purchase annual car park permits which run to 31st August each year. Payments are collected on a monthly basis and should you leave the University permanently, permits will be cancelled and payments will cease the calendar month following your leave date.

If you cancel your permit you are not eligible to reapply until 6 months after cancellation.

These Terms and Conditions are governed by English law. Disputes arising in connection with them shall be subject to the non-exclusive jurisdiction of the English courts.
